If you're building in monday.com but still chasing task updates, assigning owners manually, or rebuilding workflows by hand, there's a better way.
Power users aren't just using boards, they’re automating them.
This post breaks down the 10 automations we use at OrangeDot to help fast-moving teams scale cleanly (and keep their systems from falling apart later).

Most monday.com workspaces start out manageable.
A few boards. Some mirrored columns. Maybe a couple of automations like “notify me when overdue.”
But as teams grow, that setup breaks down. Why?
You don’t need more boards. You need more automated logic in your boards.
We’ve helped dozens of teams scale monday.com, and these are the automations we keep coming back to.
1. Status change → assign owner
When a task moves to “In Progress,” assign it automatically. No more “who’s on this?” moments.
2. Item created → set due date
Set default due dates—like 5 days after creation—so things don’t sit stale.
3. Subitem created → notify owner
Keep visibility tight. When a subitem gets added, the right person hears about it.
4. Status change → create subitems
This is gold for repeatable processes. Use it to auto-spawn subitems for things like design QA, legal checks, onboarding steps.
5. Form submission → tag team
Route new requests (via forms) straight to the right people using auto-tags or assignments.
6. Item is overdue → daily nudge
A gentle automated ping every day until it’s closed or updated. Works surprisingly well.
7. Item moved to Done → celebrate
Push wins to Slack, Teams, or a public board. Great for morale and visibility.
8. Item stuck → escalate to manager
If a task hasn’t moved in 3+ days, let someone know. Reduces bottlenecks without micromanagement.
9. Status change → move to another board
Essential for clean handoffs—like Sales → Ops, or Draft → Published.
10. Recurring task → duplicate weekly
Want a Monday morning task to plan the week? Automate it. Every Monday, fresh and ready to go.
At OrangeDot, we don’t just sprinkle in a few “notify me” triggers and call it done.
We build automation into the bones of your monday.com system. That means:
Our goal is to give your team a system that doesn’t just store work, but actually does work.
And yes, we’ve cleaned up plenty of builds where automation was an afterthought. Don’t be that build.
Are these automations only for Pro or Enterprise users?
Most of the ones above work with a Pro plan. Some advanced logic or integrations might need Enterprise or paid apps (like Make/Zapier).
Can I layer multiple automations on the same board?
Absolutely. But you need to be strategic, some sequences can conflict or loop. We recommend mapping it first (or working with a partner).
How do I avoid “automation sprawl”?
Keep your logic documented. Use naming conventions. And review your automations quarterly to clean out dead weight.
What if my team doesn’t use the board the right way?
That’s usually a sign your automation logic isn’t aligned with their real-world workflow. You don’t just need more training, you need a smarter system.
The best time to build automation into your monday.com setup is before you feel the pain.
The second-best time? Right now.
You don’t need a complicated toolchain or a custom app. You just need to start with the 10 workflows you repeat every week, and automate them well.
Because when your boards do more of the work, your team can focus on actually getting things done.
