This client is a national preservation nonprofit that manages vendors across its headquarters, affiliated organizations, and historic sites throughout the country. Its Finance and Operations teams are responsible for ensuring new vendors are properly documented, validated, and created within the organization’s accounting system before payments can be processed.
Vendor setup requires several checks along the way, including collecting required documentation, confirming information is complete, verifying whether the vendor already exists, validating tax information, creating the vendor record, and communicating the new vendor ID back to the requester.

Requests were routed through two separate email addresses depending on the type of vendor. Employees were instructed to send an email with the appropriate documentation attached, including W-9 and ACH forms, and follow specific file-naming conventions so Finance could identify and store the documents correctly.
