The Challenge
K18, a fast-growing haircare brand, had been using monday.com for project management and customer operations for several years. But like many organizations that grow quickly, their instance had developed organically — and some critical workflows still relied heavily on manual processes and human judgment calls.
Two workflows in particular were causing friction: their request intake process and their rejection and rescheduling workflow. Both required team members to manually review incoming requests, determine the correct routing, and either reject or reschedule them — a time-intensive process that introduced delays and the risk of human error.
The Solution
OrangeDot's team began with a deep discovery phase, auditing K18's existing boards and identifying where the workflow was breaking down. The team found that the root cause wasn't complexity — it was a lack of automation at key decision points.
SuperForm and SuperMail Integration
The team implemented SuperForm and SuperMail, two monday.com marketplace apps that extend the platform's native capabilities. SuperForm allowed K18 to create richer intake forms with conditional logic, ensuring that incoming requests were properly categorized before they even entered the monday.com workflow. SuperMail automated outbound communication, sending customized notifications to customers at each stage of the process.
Automated Rejection and Rescheduling
The centerpiece of the project was building an automated rejection and rescheduling feature. Previously, when a request couldn't be fulfilled as submitted, a team member had to manually reach out, coordinate an alternative, and update the board. OrangeDot rebuilt this workflow so that when specific conditions were met — such as a capacity threshold being reached or a required field being incomplete — monday.com automatically triggered the appropriate communication and updated the request status without human intervention.
The key was building clear decision logic into the automation. Rather than trying to automate everything at once, OrangeDot identified the 20% of scenarios that caused 80% of manual work and automated those first — generating immediate, measurable impact.
The Results
With the new workflows in place, K18's team saw immediate improvements in two key areas. First, team members spent significantly less time on routine review and communication tasks, freeing them to focus on more complex customer needs. Second, customers experienced faster, more consistent responses — because the system was handling routine cases instantly rather than waiting for a team member to get to them in the queue.
The project also gave K18 something they didn't have before: visibility. With automated status tracking and a dashboard view of their request pipeline, managers could see at any moment what was in queue, what was resolved, and where bottlenecks were forming.
Key Lessons
K18's project illustrates a pattern OrangeDot sees frequently: organizations that have been on monday.com for a while and have it working reasonably well, but know there's more value to unlock. The solution is rarely a full rebuild — it's identifying the specific workflows that are still running on manual effort and building the automation layer that was missing.
