The Challenge
The Creative Partnerships Project Management Team at a major mass media corporation had been using monday.com for approximately three years for project requests and management. Despite years of platform use, their core intake and assignment process was still largely manual — requiring team members to review incoming RFPs (Requests for Proposal) from Salesforce, assess them against specific conditions, and manually copy them to the correct team board.
The manual nature of this process created several problems. Assignments were inconsistent — different reviewers applied different criteria. Delays occurred when the reviewers responsible for a specific queue were unavailable. And the data across team boards was duplicative and often out of sync, making portfolio-level reporting unreliable.

The project had two major components: automating the RFP routing process from Salesforce into monday.com, and standardizing the team board structure to eliminate duplicative data.
Automated Lead Assignment from Salesforce
OrangeDot built a set of monday.com automations that could vet RFPs pushed from Salesforce for specific conditions — project type, deal size, client tier, geographic region — and automatically copy requests to the correct team board without any manual review. The automation logic mirrored the decision criteria that the team had previously been applying by hand, codifying institutional knowledge into a consistent, scalable system.
This meant that when a qualifying RFP arrived from Salesforce, it appeared on the right team's board within seconds, already tagged with all relevant metadata, and with the appropriate team members notified. The manual review step was eliminated entirely for standard requests, with exceptions routed to a dedicated queue for human review.
Internal Requests Board
OrangeDot also rebuilt the Portfolio team's request intake process. The existing form had become cumbersome — it collected more information than was needed upfront, creating friction for requesters. The team recreated the form into a streamlined Internal Requests board with an attached monday.com form that collected the essential information needed for routing, with follow-up questions triggered only for requests that required additional detail.
Standardizing Team Board Structure
The second major component of the project was standardizing the structure of team boards across the Creative Partnerships division. Different teams had built their boards differently, making cross-team visibility difficult and preventing meaningful portfolio-level dashboards. OrangeDot designed a standard board template with consistent column structures, status options, and naming conventions, then migrated each team's data into the new structure.
Standardization is only sustainable if it's enforced. OrangeDot built a governance model into the implementation — a documented set of board standards, a process for requesting new board types, and a designated admin role responsible for maintaining consistency as the team's needs evolved.
The Results
With automated routing and standardized boards in place, the Creative Partnerships team saw immediate improvements in efficiency and data quality. Team members spent significantly less time on intake and routing tasks. The consistent board structure made cross-team reporting straightforward for the first time. And the elimination of duplicative data meant that dashboards could be trusted — a critical requirement for management that had previously avoided relying on the monday.com data because it was too inconsistent.
